I will change his exit
date to match the date he received completion of his GED because this is the
date he should have exited the program and therefore, completed out of the
class.

How do I run a report from previous fy with level gains and hours?
This is doable. It will take several steps (to find the
hours range and to get the info from each of the relevant fiscal years), but it
can definitely be done.
First, find the students who had the relevant number of hours in
the relevant fiscal year. I started with the 11/12 fiscal year.
<= 25 hours is the easiest so we'll start there
Go to Find > FY Data Search and enter the following:
Reporting System: NRS FY 11-12
Fiscal Year Data Category: Student Data
Fiscal Year Data Field: Hours Instruct
Operator: <=
Value: 25
Search All Records and Display the Result
This leaves you with the people who had the relevant number of
hours, and while it includes people who weren't active in that fiscal year,
they won't be included in the final results for students who did/didn't make
level gains.
for the ranges 26-40 and 41-80,
you will have to use 2 searches to get the correct selection of students:
Go to Find > FY Data Search and enter the following:
Reporting System: NRS FY 11-12
Fiscal Year Data Category: Student Data
Fiscal Year Data Field: Hours Instruct
Operator: >=
Value: 26
Search All Records and Display the Result
Go to Find > FY Data Search and enter the following:
Reporting System: NRS FY 11-12
Fiscal Year Data Category: Student Data
Fiscal Year Data Field: Hours Instruct
Operator: <=
Value: 40
Search in the current selection ONLY
Now you are left with only the students who had between 26-40
hours. The process will be the same for 41-80. >=81 will be a
single search like the <= 25 search.
So that's the process to find the relevant number of hours.
Now, to find the students who completed a level. I am
working on the assumption that you are only wanting to look at students who
were post-tested since these are the only students who can make level gains.
If that is the case, then you can just run Table 4B for the relevant
fiscal year to see how many students are included in column B (post-tested
students) vs. how many are included in column D (completed level).
BUT, Table 4B is not currently including students who completed
High Adult Secondary based on passing the GED, so if you are including GED
completion in your calculations, you will also need to run Table 4 because it
includes the number of High Adult Secondary students who passed the GED.
So, for example, for 11/12 Table 4B for students with <= 25
hours shows a total of 39 post-tested students, 28 of whom completed a level.
Table 4 shows that 10 students completed the GED, so you will need to add
this to your final calculations - 49 post-tested students of which 38 completed
a level.
So, the overall process:
1. For the relevant fiscal year, run the FY Data
Search(es) to find students who had the relevant number of hours.
2. Run Table 4B for the relevant fiscal year on those
students.
3. If you need to include HAS students who completed the
GED, run Table 4 for the relevant FY and add the number of GED completers to
your total from 4B.
Repeat this process for the remaining hours ranges for the
selected fiscal year. Once you have all of the data for one fiscal year,
repeat the process for the remaining fiscal years.
LACES not allowing entrance of assessments
Usually when information
shows in one way for one user and another for someone else, the issue is the
internet cache.
Please try clearing your cache by doing the following:
In your Internet Explorer program:
Go to Tools > Internet Options: General tab
Under Browsing History, click Delete.
Be sure that both "Temporary Internet files" and "cookies" ARE checked and DO NOT check "Preserve Favorites website data" then click delete.
Also under Tools > Internet Options General tab, under Browsing History, click "Settings."
Be sure "Check for newer versions of stored pages" is set to "automatically."
You may also need to reboot your computer depending upon the extent of the problem.
After clearing your browser cache, if you are still unable to enter an assessment, could you please let me know what version of IE you are using and what operating system? Also, it might be helpful for me to know which student you are trying to enter an assessment for ans what assessment you are trying to enter so I can try the exact same thing that you are doing to see if I get the error then.

Enter Employment goals met not showing on Table 5
I have gone through the records for the first 15 students on
your list and have attached a spreadsheet with what I found. Of those
students:
- 7 did not leave in the
correct time frame to be included on the 11/12 Table 5. Only
students who left between 10/1/2010 - 9/30/2011 are eligible for Table 5.
- 4 students did not have
enough hours to be NRS Reportable in the fiscal year they left the
program. If the student does not have 12 hours in the FY he leaves
the program, he will not count on Table 5.
- 3 of the students
already count on Table 5
- 1 has the goal set in
the wrong FY and marked as met the same quarter that she left the program.
Please review the remainder of the students to be sure they left
the program between 10/1/2010 - 9/30/2011. If they did, double-check to
be sure that they were NRS reportable in the year they left. If the
students meet these criteria and you can't figure out what is preventing them
from being reportable on Table 5, please let me know the names of the students
in question and I will be happy to take a look at their records.
Table 5 not producing results on Retain Employment
As I mentioned in my last email, a student's
left date for Table 5 is based on their last hours date or last hours
before a 90+day gap in instruction crossing fiscal years. If you look at
Class Hours folder, you will see that she had hours on 4/1/2010 and
then did not have hours again until 10/26/2011. It is the last
hours (before a gap in instruction) on 4/1/2010 that are including her on Table
5.
The date set on the goal is important because
the goal must be set in the same year that the student leaves the program.
For Nancy, on the 11/12 Table 5 she is considered left as of 4/1/2010, so
the goal needed to be set during the 09/10 fiscal year, which it was (set on
9/28/09).
If you are ever in doubt as to when a student
is counting as left you can go to the student's Fiscal Year folder and open the
11/12 fiscal record.
When looking at the FY
Records for the Employment Goals to see when a student is considered
left:
LeftwEEg means 'left with enter employment goal'
LEFTwREg means 'left with Retain Employment goal'
FY-1 means last FY
FY-2 means 2 fiscal years ago
CurrFY means this fiscal year
Q1 means 7/1-9/30 of the relevant FY
Q2 means 10/1-12/31 of the relevant FY
Q3 means 1/1-3/31 of the relevant FY
Q4 means 4/1-6/30 of the relevant FY
LeftwEEg means 'left with enter employment goal'
LEFTwREg means 'left with Retain Employment goal'
FY-1 means last FY
FY-2 means 2 fiscal years ago
CurrFY means this fiscal year
Q1 means 7/1-9/30 of the relevant FY
Q2 means 10/1-12/31 of the relevant FY
Q3 means 1/1-3/31 of the relevant FY
Q4 means 4/1-6/30 of the relevant FY
Absent Hours
If you would like to document a student's absent hours, when you
are on the screen to add hours, if you remove the check from the box for
"Attend," the default hours you indicated on the first screen will be
removed from the "Hours" field and will instead appear in the "Absent"
field. You can then change the number of hours absent if you need to.
Then, from your Student tab, you can go to Find > Hours
Search > Class Hours Absent Search to search for students who had a
designated number of hours absent within a date range.
NRS Table 5
One of the most important things to keep in mind regarding Table
5 for the employment goals is that it only includes students who left during
specific quarters that are not necessarily your current FY students.
For Enter Employment, the only students included on the 11/12
Table 5 are those who left the program (based on their last hours date or last
hours before a 90+day gap in instruction crossing fiscal years) between
10/1/2010 - 9/30/2011.
For Retain Employment, only students who left your program
between 4/1/2010 - 3/31/2011 will be included.
This is not a change from previous years reporting and the
Employment goals will continue to follow these reporting cycles even once the
new NRS changes are in effect.
Based on this logic, the information for Kaleikahua
Rankin is 100% accurate, but she is not eligible for inclusion on Table 5
until the 12/13 reporting period.
